We take the security of your personal data seriously. All user profiles and credentials on the dttranslate.com portal are managed through Google Firebase Authentication, which utilizes industry-standard encryption to protect your login information.
This Privacy Policy applies to all services provided by D&T Translations across our domains, including dttranslations.com and our secure portal at dttranslate.com. We do not engage in credential harvesting or unauthorized data collection; all data provided is used solely for the purpose of managing translation projects and user accounts within our agency.

By accessing our Service, you accept our Privacy Policy and Terms of Use, and you consent to our collection, storage, use and disclosure of a personal information as described in this Privacy Policy. In addition, by using our Service, or services across partnered and unaffiliated sites, you are accepting the policies and practices described in this Privacy Policy. III. HOW WE USE AND SHARE INFORMATION
Personal Information:
In general, we do not sell, trade, rent or otherwise share your Personal Information with third parties without your consent. We may share your Personal Information with vendors (translators) and other third-party providers who are performing services for the Company. In general, the vendors and third-party providers used by us will only collect, use and disclose your information to the extent necessary to allow them to perform the services they provide for the Company. For example, when you provide us with personal information to complete a transaction, verify your credit card, place an order, arrange for a delivery, or return a purchase, you consent to our collecting and using such personal information for that specific purpose, including by transmitting such information to our vendors (and their service providers) performing these services for the Company.
However, certain third-party service providers, such as payment processors, have their own privacy policies in respect of the information that we are required to provide to them in order to use their services. For these third-party service providers, we recommend that you read their privacy policies so that you can understand the manner in which your Personal Information will be handled by such providers.
In addition, we may disclose your Personal Information if required to do so by law or if you violate our Terms of Use. We may also cooperate with law enforcement agencies and turn over your personal information including your documents in the event that we are asked to. In some cases, we may ask for a subpoena. Due to the increasing number of credit card scams and other fraud, we have been forced to implement certain measures to protect our company. We might start by verifying a customer's identity by matching their physical address to their IP address, asking for a copy of their ID and giving them a phone call or text message. Suspicious form submissions are ignored. Should we be subjected to fraud, however, we will immediately notify law enforcement agencies including FBI, Local Police, Homeland Security, USCIS etc.. We will provide them with the IP address, documents and other information provided.
Non-Personal Information:
In general, we use Non-Personal Information to help us improve the Service and customize the user experience. We also aggregate Non-Personal Information in order to track trends and analyze use patterns of the Service. This Privacy Policy does not limit in any way our use or disclosure of Non-Personal Information and we reserve the right to use and disclose such Non-Personal Information to our partners, advertisers and other third parties at our sole discretion.

IV. HOW WE PROTECT INFORMATION

Your personal information, including any documents you provide, is shared with our network of translators and third-party service providers (coordinators). These individuals are integral to facilitating the provision and coordination of our translation services. Our translators and coordinators are authorized to retain your personal information and documents only for as long as is reasonably necessary to complete their assigned tasks and ensure the successful delivery of our services to you.
We mandate that all translators and coordinators adhere to stringent security protocols and maintain the utmost privacy and confidentiality of your personal information and documents within their respective environments. They are also required to delete your personal information and associated documents from their systems within a reasonable timeframe after project completion.

V. YOUR RIGHTS REGARDING THE USE OF YOUR PERSONAL INFORMATION
You have the right at any time to prevent us from contacting you for marketing purposes. When we send a promotional communication to a user via Weebly (our website platform provider), we may include a statement that the user can opt out of further promotional communications. If there are no such statements, or if you wish to opt out of receiving promotional communications from us, you can let us know by sending us an email at support@dttranslations.com. XII. DATA RETENTION PERIOD
We may retain your personal information as well as any material you send including your documents for as long as your account is active or as needed to provide you services. If you wish to cancel your account or request that we no longer use your information to provide you services, please contact us at support@dttranslations.com. We may try to erase all your data to minimize the risk of its being breached or lost after 2 years or more of inactivity. Please note however we may still keep some of your information in safe storage such as your name and email address. In addition, some of our third party providers may still retain your personal information. You have the right to request access to the personal information we hold about you and to ask for it to be corrected or deleted.

- Telesign (for SMS Communication): "To facilitate communication regarding your translation projects, order updates, and important announcements, we may use Telesign for SMS messaging. When you opt-in to receive SMS notifications, your phone number and relevant message content will be shared with Telesign for the sole purpose of delivering these messages. Telesign's privacy practices are governed by their own privacy policy."
- Mailgun (for Email Communication): "For sending transactional emails (e.g., order confirmations and project updates) and marketing communications (if you have opted in), we use Mailgun. Your email address and the content of our communications will be processed by Mailgun for the purpose of email delivery. Mailgun's privacy practices are governed by their own privacy policy."
- Google Cloud Products (for Operations and AI Processing): "We leverage various Google Cloud products (e.g., Google Cloud Storage, Compute Engine, AI Platform, Natural Language API, Translation API, etc.) to support our operational needs and enhance our translation services. This may involve: Data Storage and Processing: Your documents and project-related data may be temporarily processed or stored on Google Cloud infrastructure for tasks such as file management, computational analysis, or AI-driven quality checks. AI-Powered Features: For example, we may use Google Cloud's AI capabilities to assist with automated document analysis for word count, preliminary language detection, or quality assurance checks on translated text. Crucially, we do not use your confidential documents or personal data to train Google's general-purpose AI models, nor do we permit Google to use your data for their own purposes beyond providing the contracted services. We ensure that any data processed by Google Cloud products is handled in accordance with Google's data processing terms and security standards. We maintain strict access controls and configurations to protect your sensitive information."

Weebly: Our website (https://www.dttranslations.com/) including the contact form is provided and supported by Weebly which is a website builder and hosting platform. Weebly is Privacy Shield certified and headquartered in San Francisco, USA. Weebly has a strict privacy policy accessible at https://www.weebly.com/privacy. To strengthen the safety of our website, we have implemented a paid safety feature called SSL Certificate also provided by Weebly itself. According to Weebly, the SSL Certificate protects data transmission from interception by mean of encryption which makes form submissions relatively safe and secure (http://www.weebly.com/blog/ssl-certificate/).
GMAIL, Google and Google's Enhanced Conversion Tracking: Our clients and/or potential clients can also communicate their personal information and documents via Email. Our Email service provider is called Gmail which is a Google product. Gmail is a widely used service that uses encryption to keep data private while in transit. The email encryption is not however always available. According to Google, "If the person you’re emailing is using an email service that doesn’t encrypt all messages using S/MIME or TLS, their emails might not be secure. However, messages are encrypted in S/MIME whenever possible. For S/MIME to work, to either sign or receive S/MIME encrypted mail, a user must have a valid S/MIME cert from a trusted root." Even if you do not email us your personal information including your documents (data) via Email, we may still keep your data in Gmail as backup. Form submissions that we receive from our website visitors land directly in our Gmail account(s) as email notifications. We may share your personal information such as your name, email address or phone number with Google for ad success measurement purposes. The Square collects our customers' payment information (debit or credit card information) by means of these electornic invoices that we send to our customers via Square's platform. In general, we do not directly collect your card or banking information. Square does not expose it to us either. WhatsApp greatly facilitates the translation management process by speeding up the exchange of files and information. This allows us to provide fast and reliable services to our customers. WhatsApp uses end-to-end encryption and other security features to provide safety and privacy of your and our personal information including your documents.
